Senior Grants and Contracts Administrator, Sponsored Clinical Trials Research

Overview

Kaiser Permanente Southern California is hiring a Senior Grants and Contracts Administrator for its expanding clinical trials team. This role manages pre-award tasks like budgeting, contract negotiation, study start-up, and post-award duties such as invoicing and closeout. Candidates need 5–8 years of research administration experience, expertise in clinical trial budgeting and negotiations, and familiarity with regulatory requirements.

Position Summary

Manages pre- and post-award research administration, including drafting and reviewing proposals to ensure compliance with all regulations and KP policies. Develops and justifies project budgets, advises on budget revisions, and monitors award compliance. Handles award closeout and guides teams in preparing sponsor reports and research accounting documentation for closing and audits. Supports agreement review and routing, negotiates contracts, and provides mentorship on contract processes.

Key Responsibilities

Develops plans to meet priorities; coordinates and delegates resources; drives project completion and improvement.

·        Leads post-award administration, consulting on budgets, coordinating reports, guiding funder requirements, monitoring deadlines, managing award systems, supporting agreement reviews, and overseeing closeouts.

·        Leads pre-award administration by reviewing proposals, advising on research methodologies, interpreting agency regulations, developing budgets, and preparing submissions and award acceptance; Serve as primary liaison with sponsors and CROs during study start-up.

·        Contributes to research accounting by coaching documentation preparation, offering consultation on grant determinations, and handling accounting entries and closeout analysis.

·        Acts as a compliance expert by leading proposal reviews for regulatory adherence and developing compliant research processes. Assist teams in ensure adherence to FDA, OHRP, GCP, HIPAA Disclosure Accounting, and Uniform Guidance. Collaborate with IRB, compliance, and clinical billing offices

·        Mentors in research contracting, negotiates agreements, and advises on contract terms, including complex collaborations. Independently negotiate Clinical Trial Agreements (CTAs), Budgets, Confidential Disclosure Agreements (CDAs), and subawards. Track timelines to support efficient study activation. Serve as a resource to investigators and study teams

·        Builds stakeholder relationships through advanced expertise and effective communication with internal and external parties.
