POSITION OVERVIEW

We are seeking an experienced Research Administrator to provide lifecycle pre- and post-award grants and research/sponsored projects administration, ensuring the fulfillment of all grant or contract requirements.

This position will ensure compliance with associated local, state, federal, sponsor, and institutional policies and guidelines. This position will provide high quality customer service to researchers applying for project funding, conducting sponsored projects and research, reporting, and closing out projects.

This position reports directly to the Head of Research Administration and Innovation.

Responsibilities

The Research Administrator supports various activities within the Research Administration and Innovation Department. This position will manage the preparation of proposals, budget development, submission, post award management of grants and sponsored projects. This role will lead and/or manage a variety of functions including identifying staffing needs, equipment, regulatory requirements, resource management, process improvement, and other special projects or initiatives.

Pre-Award

Pre-Award activities include reviewing, negotiating and administering incoming externally funded grants and sponsored projects. This position will serve as the primary liaison with external sponsors and will review and submit proposals on behalf of the institution. Responsibilities include, but are not limited to:

      Assist in identifying funding opportunities and review funding opportunity announcements to prepare proposal submission.

      Manage pre-award administration of grant and sponsored projects proposals.

      Develop accurate budgets and budget justifications.

      Review proposals for consistency with institution and sponsor guidelines.

      Coordinate with collaborators (subcontracts, consultants, evaluators, vendors, etc.) to ensure that documents are current, accurate, and complete.

      Prepare and submit subaward documents to lead institutions.

      Submit proposals to sponsors and respond to post-submission requests.

Post-Award

Post-award activities include regular review, reconciliation, and projection of award finances, preparing adjustments and corrections to award budgets, and ensuring adherence to quality standards and all policies and award regulations. Additional responsibilities include but are not limited to:

      Complete post-award administration of grants and sponsored projects.

      Process reimbursements, invoices, and procurement requests.

      Review and interpret award documents.

      Review, approve, and report expenditures.

      Manage effort commitments of project personnel.

      Regularly review award budget and balance with PIs.

      Provide data needed for progress and financial reports.

      Facilitate account close out activities.

Skills

      Interpersonal skills necessary to interact effectively with researchers, sponsors, ICSI management, and a network of internal and external contacts.

      Ability to establish priorities and react promptly to a large variety of requests and needs, sometimes in stressful situations.  Ability to work effectively under pressures of various deadlines.

      Strong written and verbal communication skills required.

Education and Experience

Required

      Bachelor's degree

      4+ years of work experience with sponsored programs

      Knowledge of federal regulations governing federal grants, contract, and cooperative agreements

      Experience with science and defense agencies, including the National Science Foundation and DARPA

Preferred

      Certified Research Administrator (CRA)

      Experience with Cayuse Sponsored Projects

Location

Downtown Berkeley, CA. 

Hybrid/remote work-friendly.  Fully-remote work will be considered. Occasional travel will be required.

Hours & Compensation

Full-time, 40 hours per week.

Salary is commensurate with experience within the range of $70,000 - $120,000 per year, taking into consideration geographic location.
