We are seeking a Sr. Sponsored Projects Specialist plays a pivotal role in supporting the Johns Hopkins University Research Administration (JHURA) by addressing inquiries and managing workload assignments. This position is integral to the proposal submission process, ensuring compliance by reviewing proposal budgets and other research administration documentation. The Specialist also interprets sponsor requirements, manages award processes, and facilitates award documentation for account setup. This role supports various departments across JHURA, which oversees research administration for numerous schools and centers, including the Bloomberg School of Public Health, Whiting School of Engineering, Krieger School of Arts and Sciences, School of Nursing, School of Education, Carey Business School, Academic and Cultural Centers, School of Advanced International Studies, Peabody Conservatory, Bioethics Institute, Jhpiego, and the Applied Physics Laboratory
Specific Duties & Responsibilities
- Provide advice and counsel to faculty and staff during proposal preparation stage. Review proposals for completeness and compliance.
- Review and process incoming awards.
- Manage workflow process for assigned awards in the JAWS database.
- Review, interpret sponsor requirements, regulations, and institutional policy intersections for proposals and post award.
- Evaluate and coordinate processing of responses to faculty and sponsors regarding proposals and awards.
- Ensure policies are met, correct cost rates are applied, appropriate forms are completed and returned to department or submitted electronically through grants.gov, research.gov, or other electronic means.
- Read and interpret grant and contract program announcements.
- Apply knowledge of federal regulations and policies on research compliance (human subjects, animal, etc.).
- Understand relevant issues and processes regarding conflict of interest and compliance that impact proposal submission, contract signoff, and problem resolution.
- Verify that all required steps have occurred, assembled for review, and are complete.
- Ensure Fibi and JAWS data integrity.
- Prepare agency letters (JIT, IRB training certifications, etc.).
- Serve as lead administrative user of the various electronic systems used for research administration (e.g. Fibi, Oculus, SAP, eCommons).
- Recommend and enhance procedures, and administratively coordinate implementation of new or modified systems.
- Assist with conversion of paper processes into a comprehensive electronic records system.
- Other duties as assigned.
Additional Applicable Information
- Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
- Successful completion of the RAT program (18-24 months) is equivalent to three years of relevant experience for this position.
- If an employee does not successfully complete the program, no additional experience will be applied.
Minimum Qualifications
- Bachelor's Degree in related discipline.
- Must have at least three years of related experience, including at least one year working in a sponsored research environment.
Preferred Qualifications
- Must be detail-oriented, well-organized, and able to handle multiple projects in a deadline driven environment.
- Must demonstrate excellent verbal and written communication skills.
- Must demonstrate experience with budget/pre-award process.
- Must have expert knowledge of Excel.
- Having experience with SAP and Fibi would be a plus.
