Job Summary

The Chief Administrative Officer (CAO) oversees all activities related to departmental administration, including financial, personnel, systems, research and facilities management, and assures compliance with University policies and procedures. The CAO is responsible for hiring and retaining a well trained, efficient and customer service-oriented staff, and is responsible for the careful management of both the equipment and space assets of the department. The CAO participates in immediate and long-term planning for the department with the goal of maximizing limited resources. The CAO establishes and maintains timely and appropriate reporting mechanisms for the chairs and faculty regarding fiscal, personnel and other critical management areas. The CAO serves as liaison between other departments, other University offices, and extramural organizations, and serves on department and university advisory committees.

Note: this is a hybrid schedule allowing for 3 days a week offsite.

The CAO of the Departments of Anatomy and Microbiology & Immunology, and the Hooper Foundation reports directly to two department chairs and indirectly to the School of Medicine Vice Dean of Administration and Finance. The CAO also serves in an advisory capacity to the departments’ leadership committees, the faculty, and members of the Department.

Department Description

This position supports two departments and an organized research unit.

The Department of Microbiology & Immunology and the Department of Anatomy are two separate basic science departments within the School of Medicine that each perform scientific research, training and teaching at Mission Bay and Parnassus Heights. Research in the Department of Microbiology & Immunology focuses on areas related to molecular microbiology, infectious diseases, immunology, and cancer. Research in the Department of Anatomy focuses on areas related to cell biology, developmental biology, cancer biology, aging, and neuroscience. Our departments also provide advanced research training to postdoctoral fellows and graduate students working towards their Ph.D. degrees.

The G.W. Hooper Research Foundation is an organized research unit within the Department of Microbiology & Immunology. We perform scientific research and training at Parnassus Heights.

Required Qualifications

 

  • Bachelor's degree in related area and / or equivalent experience / training       
  • 8+ years directly related experience        
  • 7+ years of lead/supervisor/manager experience
  • Thorough knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll
  • Very strong ability to quickly evaluate complex issues and identify multiple options for resolution
  • Thorough knowledge of common organization-specific and other computer application programs
  • Excellent ability to establish metrics for department and employee goals
  • Excellent skills to work collaboratively and act persuasively in sensitive situations; skills in conflict management techniques
  • Excellent interpersonal skills to effectively lead, motivate and influence others and to develop and maintain high standards of customer service
  • Excellent project management skills, including the capability of managing capital projects

Preferred Qualifications

 

  • Experience with UC and UCSF system-wide policies and procedures regarding financial, administrative, environmental health and safety, fire safety, space utilization, and facilities management procedures
  • Academic Medical Center Experience with large organization
