Limited Submissions Specialist (Proposal and Award Generalist)

The Penn State Limited Submissions Program within the Office of the Senior Vice President seeks applications for the position of a Limited Submissions Specialist (Proposal and Award Generalist).

This position will be within the Office of Strategic Interdisciplinary Research Office and report to the Associate Vice President for Strategic Initiatives and Director of Limited Submissions.

This position is responsible for supporting limited submissions, both federal and non-federal opportunities, to process for the university research community, utilizing InfoReady (portal for limited submisisons review) and other systems as required by the unit/university.

Responsibilities: The Limited Submissions Specialist have the following responsibilities:

 

  • Determine calls from sponsors requiring down-select, manage the selection process including committee selections, making submissions to InfoReady, answer researcher questions, and notifying successful applicants.
  • Create and disseminate calls for internal submissions and gather relevant information to determine the responsiveness of a project to the external call.
  • In consultation with the Limited Submissions Director, coordinate faculty peer review of submitted applications, including recruiting and assigning peer reviewers, collecting written feedback, and compiling rankings/feedback to determine competition awardees finalizing selections with the Senior Vice President for Research.
  • Implements and maintain systems to monitor and document competitions and outcomes, as well as observations for future reviews, and how it might impact the process.
  • As a significant user of InfoReady, this position will consult and share best practices with faculty and staff in other units utilizing InfoReady for seed grants and other competitions and serve as first level support for other users at Penn State.
  • Assist with proposal submissions as needed and available in support of SIRO activities as well.

 


Education and Experience: This position will be filled at an Intermediate Professional or Advanced Professional level, based on the successful candidate's qualifications. It requires a minimum of an Associate's degree and 2+ years of relevant experience at the Intermediate Professional level, and a Bachelor's and 3+ years of relevant experience at the Advanced Professional level, or an equivalent combination of education or experience for either levels. Any exposure or experience working with proposal review systems/portals will be a plus.

Work Arrangement: This position is eligible to work in person, remotely or as a hybrid of in-person and remote. There will be periodic travel as required, to the University Park campus. Standard work times will be in EST.
