About the Position:
As the Office of Sponsored Programs (OSP) Billing Administrator, you will manage the invoice functions related to externally sponsored grants and contracts. You will be a key player in ensuring that appropriate internal controls are in place and accounting procedures are followed. As part of the Financial Management team in OSP you will interface regularly with other OSP staff, department and college research administrators, faculty, and external sponsors.
Responsibilities:
This position supports post award financial management primarily in preparation of sponsored invoicing, reconciliation of outstanding receivables, and overall billing status integrity as it relates to sponsored agreements. These tasks are to be completed within the parameters of university policy and procedures. The Billing Administrator will manage the invoicing functions related to externally sponsored grants and contracts; the following core responsibilities are required for this position:
- Understands the financial requirements of assigned grants and contracts, and ensures functions are completed in accordance with guidelines, including which expenses are eligible to be billed, invoicing requirements, and deadlines;
- Prepares and sends invoices and all required reports to assigned agencies. Monitors invoice payment status and follows up regularly to ensure payments are received;
- Assists with reporting tasks for financial compliance and monthly monitoring;
- Coordinates with others within the team, OSP staff, principal investigators, and college and department administrators to obtain information necessary for invoice submission and other tasks;
- Timely preparation of monthly and quarterly receivables reports;
- Timely review of new awards and modifications for invoicing requirements;
- Assists with external agency and financial audits as needed; and
- Other duties as assigned.
Required Qualifications:
- Demonstrated experience in accounting or related field (typically 3+ years);
- Basic principles of business management, skill in operation of Microsoft based software applications;
- Attention to detail and accuracy for reconciliation of accounts;
- Demonstrated skills in Excel and other Microsoft based software applications, computer skills, problem solving, interpersonal, and communication skills;
- Well organized with the ability to manage multiple priorities concurrently;
- Ability to thrive in a centralized office environment;
- Ability to identify problems and find effective solutions;
- Ability to handle multiple tasks and meet deadlines;
- Self-starter with ability to manage tasks with little supervision; and
- Demonstrated ability to aggregate, analyze, and present data gathered from multiple sources.
Preferred Qualifications:
- Knowledge and experience with sponsored project accounting;
- Experience in financial administration and invoicing at an institute of higher education;
- Proficient in Ellucian Banner financial system; and
- Working knowledge of sponsored grant program administration, ability to interpret research contract and government regulations including basic accounting functions and effectively communicate orally and in writing with sponsors, principal investigators and the university community.

- A person who is a “protected individual” as defined by 8 U.S.C. 1324b(a) (3); or
- A person who is otherwise able to become generally eligible to receive unclassified technical data pursuant to the International Traffic in Arms Regulations.
