The Lead Grant Coordinator will work as a part of the Stephenson Cancer Center’s Proposal Services Team. This position independently provides excellent professional support to SCC research faculty by coordinating grant application submissions, attending meetings, prioritizing tasks, distributing information, and acting as a liaison between the faculty and central offices for required university approvals. This position provides upper-level research program management duties and requires a deep understanding of research administration concepts, guidelines, and principles.  The position will work closely with the Proposal Services Manager and the Director of Cancer Research and assist the team in achieving team goals and the SCC’s mission. This position will be located on the OUHSC campus with flexible hybrid and/or remote option possible for experienced candidates.

  • This is a departmental pre-award position.
  • Ensures that sponsored research projects are managed in an efficient and effective manner consistent with SCC and OUHSC policies and procedures, and applicable agency guidelines, laws, and regulations.
  • Works directly with faculty, subcontractors, and collaborators across SCC to prepare proposals (new, renewals, supplements, transfers) and review awards. Responsible for use of the correct processes, forms, and sponsor, SCC and OUHSC submission requirements.
  • Decipher and extract key proposal requirements from the funding opportunity.
  • Develop a timeline of milestones to facilitate proposal planning, development, and adherence to the application guidelines.
  • Initiate and maintain regular communications and meetings, create, and manage a virtual shared workspace for the proposal development team to ensure timely progress towards successful proposal submission.
  • Serve as the administrative lead and manage the development of all components of a grant application. This includes developing and maintaining a checklist, tracking action items and deliverables, and managing all proposal documents according to sponsor and University requirements including budgets/justifications, biosketches, subcontract documents, letters of support, training grant data tables, or other required materials.
  • Completes or oversees completion of all necessary paperwork or on-line forms/programs for grant submission, i.e., standard application forms, assurances, cover page, certification forms.
  • Advises faculty and staff regarding sponsored research administration issues, including appropriateness of budget items, interpreting a broad range of sponsor policies, government regulations, and agency terms and conditions.
  • Prepares and submits approved budgets in adherence with University and Sponsor guidelines.
  • Communicates directly with the OUHSC Office of Research Administration (ORA) on proposal and grant-related matters. Ensures timely submissions of proposals to ORA.
  • Provides editorial review (non-scientific/programmatic contribution) of faculty grant proposals.
  • Handles transfer of new and departing faculty awards from/to other institutions.
  • Coordinates post-submission inquiries concerning status of proposals and award processing in sponsored offices. Performs non-financial post-award functions (RPPRs and other reporting).
  • Maintains calendar and process reminders to PIs for renewals.

 

Working Conditions         

Physical: Must be able to work in sitting position, use computer and answer telephone.

Environmental: Standard Office Work Environment.

 

Experience          

Required: 60 months experience in grant proposal submission and/or research administration.

Education:  Bachelor’s degree

Equivalent/Substitution: Will accept 48 months experience in lieu of a Bachelor’s degree for a total of 108 months experience.

 

Certifications or Licenses 

  • Preferred: Certified Research Administrator (CRA) or Certified Pre-award Research Administrator (CPRA)
