Department: Sponsored Research Administration

(SRA): A unit under the purview of the Vice President for Research, is responsible for pre-award and post award functions of the university for awards with U. S. public funding (federal, state, and local governments) and U.S. public funding that is flowed through private organizations.

Responsibilities:

This entry level position will advise and assist faculty and staff in pre award and post-award non-financial sponsored research, instruction, and public service activities including, but not limited to: proposal preparation, review, submission and tracking of sponsored research, instruction, and public service activities from public sources.

  • Negotiate basic agreements by serving as the primary liaison with funding/sponsoring agencies.
  • Review subrecipient documents and determine contract/vendor relationships. Accept awards and coordinate post-award non-financial activities.
  • Maintain regular contact with principal investigators, deans, chairs, departmental administrators, and funding agency officials regarding interpretation and application and procedures.

Qualifications:

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

  • Experience with attention to detail, meeting project deadlines and working independently.
  • Ability to communicate effectively and clearly both verbally and in writing.
  • Ability to comprehend and interpret state, federal, and sponsoring agencies rules, regulations, policies, and laws regarding sponsored research.
  • Ability to work effectively in a fast-paced, changing environment and to interact with people at all levels diplomatically, tactfully, and professionally

This position requires successful completion of the eSPEAR certification series within the first six months from start date.

Preferred Qualifications:

Preferred experience with contract review and negotiations (e.g., FAR clauses, federal contracting, SBIRs and STTRs).

Who is the ideal candidate for this position?

You will be known as the go-to person for a specific department range within SRA. You have a good rapport with others and will be able to work closely with department representatives, faculty members, and colleagues in SRA via telephone, Zoom/Teams, and e-mail. You will also work directly with grants/contracts/administrative officers at a sponsor (e.g., FL Department of Health, National Science Foundation), which likewise requires diplomacy, tact, and good communication skills for resolving issues and negotiating. You are detail oriented and analytical as well as a good multitasker and a problem solver. You enjoy learning something new every day. You are both a team player and an independent worker.

What is a typical day in this position?

Every day can be different. One day, you may be submitting several proposals and setting up award time extensions while the next day you could be reviewing and negotiating contracts, reviewing a budget and budget justification for an upcoming proposal, and reaching out to a faculty member about their upcoming amendment for time and money. You will attend team meetings regularly and a full staff meeting monthly. If you enjoy working in a medium-sized department, which is collegial, professional, and has you learning something new all of the time, you'll be happy in SRA. There are lots of opportunities for training that can be attended virtually and in-person.

What can I expect in the first 60 – 90 days?

In the first few weeks, you will meet your team and the entire SRA staff. Our IT team will make sure you are up and running usually by the end of your first day. Then, you will be able to get acquainted with our website and our policies and procedures. You will be shadowing and working closely with team members, completing the eSPEAR Certificate Series online training, and starting to work on certain tasks independently. At the 6-month mark, you will notice that you've learned so much and are comfortable in your position. Our staff is always available to answer any questions you may have while you are learning your new position.
