Overview

POSITION SUMMARY

Arkana Laboratories seeks an experienced and motivated Grants Administrator to manage pre-award and post-award aspects of sponsored projects (including federal grants, industry research collaborations, and contract research projects) to further Arkana’s mission to improve patient care by advancing our understanding of disease and providing world-class diagnostics to the physicians who treat those patients. As a vital component of Arkana’s research mission, the Research Administration department is the central hub of knowledge for research activity at Arkana. An essential role is to ensure that sponsored research activities are in compliance with the policies and procedures of federal, state, foundation, corporate and other agencies.

Essential Functions Statement(s)

The Grants Administrator position supports sponsored projects across multiple departments at Arkana. An essential function of the Grants Administrator is to facilitate the procurement of external funding for research. Much of the funding for sponsored projects will be obtained from the National Institutes of Health (NIH); however, other funding sources may include other Federal Agencies, Industry, Foundations, and internal funding. Therefore, it is essential that the Grants Administrator be cognizant of all applicable processes and regulations associated with the funding and be diligent with compliance with federal regulations. The following functions are deemed essential:

  • Reviews for grant compliance and approvals and manages all related required processes in departments across Arkana.
  • Ensures that all necessary proposals are submitted accurately, on time, and in accordance with the established Arkana policies and procedures as well as sponsor, federal, state, and collaborating institutions' rules and regulations.
  • Assists with annual progress report submission, prior approval change and budget revisions as well as other proposal-related duties as determined by Arkana.
  • Assists with grant renewals, continuations, no-cost extensions, and successful and comprehensive grant close-outs. Reviews award documents for grant acceptance and processing; contributes to the management of awards for compliance with sponsor's financial guidelines.
  • Serves as liaison with the Finance Department for the research departments at Arkana for billing and invoicing for research grants and contract research projects.
  • Coordinates with departments and Principal Investigators in proposal and budget construction preparation and final submission to the agencies.
  • Serves as liaison for the processing and review of Collaboration Agreements, Non-Disclosure Agreements, Sub-contracts and other Agreements as needed.
  • Tracks achievement metrics such as submissions, prizes, and salary recovery amounts budgeted. Prepares regular reports on grant submission activities and regularly updates dataset to incorporate key achievement measures.
  • Assists investigators with updating current and pending documents as needed which includes reviewing Effort Reporting certification to ensure amounts budgeted and reported on projects is accurate. Assists in the development of internal operating procedures for Research Administration.
  • Interacts with sponsors and staff to resolve problems and correct errors in fund management. Monitors and resolves budget exceptions, non-payroll transfers, budget modifications, change of PI requests, and Direct Charge Exemption forms.
  • Analyzes expenses, develops cost projections, and provides financial tracking and fiscal control to ensure compliance, effective grant management and fulfill reporting requirements. Provides basic accounts payable, human resource, and payroll support in relation to research activities at Arkana.
  • Monitors final reporting which includes reviewing for accuracy and appropriateness and timely submission while interacting with core offices. Prepares sub-awards for sponsored projects as specified by the granting agency including subcontracts and consulting agreements.
  • Assures adequate cost justifications and supporting documentation are obtained and conforms to Arkana and Sponsor policies and procedures. Contacts faculty members whose grants or contracts are coming to an end to ensure the preparation and submission of a new or continuation proposal to the funding agency.
  • Maintain accurate and detailed records using grants management systems and Microsoft Office suite programs.
  • Provides budget status reports, detailed transaction reports, projections and other reports to the Principal Investigators, Chief Financial Officer, Chief Executive Officer and Members of the Board. Reconciles and ensures expenditures charged to Project Accounts are accurate.
  • Reviews and approves requisitions charged to restricted accounts. Ensures grants and other restricted accounts are not over-expended. Ensures the expenditures are allowable and appropriate.
  • Assists the Principal Investigators with the effort certification and reporting process, and maintains accurate up-to-date time-keeping records across research and development at Arkana.
  • Other job-related duties may be assigned.

Required Qualifications

Education:                   

Master’s Degree in Business Administration, Health Administration or related field plus four (4) years of related administrative experience involving sponsored research programs

OR

Certified Research Administrator (CRA) and two (2) years of grant or contract administration experience. Equivalent education, experience and/or training may be substituted for the degree requirement

 

Experience:                 

-Administrative experience must include pre-award and post-award management of NIH grants.

-Experience tracking both financial and time resources is required.

-Deep knowledge of NIH grants management, including regulatory and compliance issues, high proficiency with online portals and workspaces such as grants.gov and ASSIST, and competency with financial reporting.

-Strong skill set in time-keeping software to ensure compliance with effort reporting on grants.

-Thorough understanding of human subjects management, including Institutional Review Boards (IRB) protocol management.

-Project management skills and experience is a plus.

-Excellent written, verbal and presentation skills.

-Strong computer skills required, with proficiency in MS Office, including Word, Excel and PowerPoint.

-Excellent information management and time management skills.

-Excellent interpersonal skills and the ability to work effectively as part of a cross-functional team.

-Curiosity, enthusiasm, detail-oriented, ability to speak up, quick learner, self-starter, multi-tasker.    

Preferred Qualifications

Preferred but not mandatory prior experience:

  • Management of publications through myNCBI.
  • Management of invention tracking through iEDISON.
  • Experience with reference management software (e.g., EndNote, Zotero)
  • Proficiency with Microsoft suite of software including high proficiency in Excel.
  • Preparing progress reports on multiple projects with different agencies and timespans.
  • Tracking human subjects participation in multiple research programs
  • Compliance with annual IRB reporting requirements
