The Human Biology Division is one of five scientific divisions at Fred Hutch housing 24 faculty-led laboratories studying various cancers and infectious diseases. We are seeking a Research Administrator (RA) to join our team to support the work of our preeminent scientists. This is not a central administration position specializing in pre- and/or post-award support. RAs in Human Biology (HB) work closely with investigators and their labs providing all aspects of research administration from pre-award through grant closeout in addition to daily operational and administrative support

 

The RA position serves as a liaison between assigned faculty and Fred Hutch’s central administrative departments (OSR, IRO, EHS, Procurement, Engineering Facilities, and Human Resources, etc.). A successful RA has strong organizational and task management skills, an interest in learning new applications, strong email communication skills, curiosity, attention to detail, a sense of humor and a desire to work in a supportive and collegial community. An HB RA is honest regarding workload and volunteers to help support team members. The HB RA also seeks out ways to support the team of RAs by developing subject matter expertise in an area of choice, sharing templates, tips, or checklists, and can self-educate and share knowledge with team members and contribute to continuous process improvement efforts.

 

Responsibilities

Grant/Budget/Fiscal Management

  • Lead all award activities (pre and post award) including preparation of grant submissions, sponsor communications, compliance with sponsor policies, short- and long-term financial forecasting, effort reporting, procurement, and award closeout activities.
  • Competent with developing and tracking project budgets for a complex portfolio of projects (federal, foundation, industry, and internal) with multi-variable aspects (multi-site, sub awards, varying start- and end-dates, etc.)
  • Provide budgetary projections and analysis to help faculty determine hiring and spending decisions.

Regulatory Support

  • Draft non-scientific portions of regulatory applications/submissions (human subject and animal regulatory requirements, material transfer agreements, etc.)
  • Become versed in software that supports IR and IRO files to submit amendments.
  • Liaise with central administration IRO for MUA renewals and IACUC and IR amendments.

Administrative/Operational Support

  • Manage personnel appointments and human resource activities for PI teams.
  • Train new lab personnel in Fred Hutch systems and policies.
  • Occasional recurring meeting, event planning, travel support, and other duties as requested.

Depending on experience, the position can be filled as Research Administrator III or IV.

  • An RA III carries out high level portfolio analyses and issue resolution.
  • An RA IV carries out high level portfolio analyses and complex issue resolution.

 

Qualifications

Research Administrator III

  • Bachelor’s Degree or three years’ relevant experience.
  • Minimum of 1 year experience managing federal and or non-federal sponsored research.
  • Advanced and demonstrable Microsoft Office skills including Word formatting, Excel formulas and pivot tables, Outlook (calendar and task management), Microsoft Teams, and Adobe Acrobat, Word, and Excel.
  • Self-motivated with the ability to follow through on assignments and meet deadlines.
  • Ability to analyze and interpret grants policies and regulations, determine impact, and ask questions to deepen comprehension.
  • Basic understanding of budgeting and accounting terminology.
  • Demonstrable experience with successful planning, organizing, and prioritizing your work.
  • Ability to generate customized reports from internal systems.
  • Willingness to learn ever changing internal systems.
  • A focus on excellent customer service.
  • Excellent written and oral communication skills.
  • Complete assigned tasks with minimal or no supervision and exercise sound judgment to make appropriate decisions.
  • Ability to maintain regular work hours.

Research Administrator IV

All qualifications of Research Administrator III, plus:

  • Bachelor’s Degree or three to four years’ relevant experience.
  • Minimum 3 years’ experience managing federal and or non-federal sponsored research. 

A cover letter describing interest and relevant experience is required. If you do not have grant administration experience, provide examples from your work experience that demonstrates an understanding of submissions to RFAs, budgeting, forecasting, purchasing, customer service, task management, etc.
