Job Summary:

Oversees pre- and post-award research projects to support Kimberly Green Latin American and Caribbean Center's research initiatives (LACC). Supports faculty with proposal preparation, including but not limited to proposal budgeting, completing all required internal and external documentation as necessary, and coordinating the entire proposal submission with Principal Investigators (PIs) and the Office of Research & Economic Development (ORED).

  • Oversees the pre-award and post-award administration of grants; reviews for grant compliance and approvals and manages all related required processes for the Kimberly Green Latin American and Caribbean Center (LACC).
  • Provides guidance to department, college administration, and faculty members on all fiscal and administrative grant related matters. Ensure that all necessary proposals are submitted accurately, on time, and in accordance with the established University policies and procedures as well as sponsor, federal, state, and university rules and regulations.
  • Provides post-award administration and management for complex public and private sponsored and non-sponsored projects. Assists with annual progress reports submission, prior approval change and budget revisions as well as other proposal related duties as determined by the Center.
  • Assists with grant renewals, continuations, no-cost extensions, and successful and comprehensive grant close-outs. Reviews award documents for grant acceptance and processing; contributes to the management of awards for compliance with sponsor's financial guidelines.
  • Provides financial reports to investigators and departments to assist in award oversight. Assists auditors with data requests and reports; maintains and monitors records associated with the University's subcontracts including processing encumbrances and payments.
  • Serves as liaison with the Office of Research and Economic Development (ORED) and SIPA departments in the administration of SIPA department's grants.
  • Coordinates with departments, FIU Administrators, LACC faculty affiliates and Principal Investigators in proposal and budget construction preparation and final submission to the agencies.
  • Serves as liaison for the processing and review of Collaboration agreements, Non-Disclosure Agreements, Sub-contracts and other Agreements as needed.
  • Tracks achievement metrics such as submissions, prizes, and salary recovery amounts budgeted. Prepares regular reports on grant submission activities and regularly updates dataset to incorporate key achievement measures.
  • Assists investigators with updating current and pending documents as needed which includes reviewing Effort Reporting certification to ensure amounts budgeted and reported on projects is accurate. Assists in the development of internal operating procedures for the Center's research area.
  • Works directly with faculty/PI managing highly complex multi-million-dollar portfolios which requires in-depth coordination of financial and HR activities, responsible for interactions to resolve problems and correct errors in all project management.
  • Reviews grant and contract award terms and conditions while using and interpreting the other award documents to determine budget, restrictions, invoicing schedule, and other pertinent information while actively participating in the negotiation with grant and contracting officers to substantiate budget requests and to secure terms and conditions, which are consistent with policy.
  • Interacts with sponsors and staff to resolve problems and correct errors in fund management. Monitors and resolves budget exceptions, non-payroll transfers, budget modifications, change of PI requests, and Direct Charge Exemption forms.
  • Analyzes expenses, develops cost projections, and provides financial tracking and fiscal control to ensure compliance, effective grant management and fulfill reporting requirements. Provides basic accounts payable, human resource, payroll support, including the filing of grant-related faculty summer contracts and other grant-supported personnel.
  • Monitors final reporting which includes reviewing for accuracy and appropriateness and timely submission while interacting with core offices. Prepares sub-awards for sponsored projects as specified by the granting agency including subcontracts and consulting agreements.
  • Assures adequate cost justifications and supporting documentation are obtained and conforms to FIU and Sponsor policies and procedures. Contacts faculty members whose grants or contracts are coming to an end to ensure the preparation and submission of a new or continuation proposal to the funding agency.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures. Handles cash, credit cards, checks, gift cards and other monetary payments or transactions.

Minimum Qualifications:

Bachelor's degree and two (2) years of grant or contract administration experience OR Certified Research Administrator (CRA) and two (2) years of grant or contract administration experience OR equivalent combination of education and six (6) years of grant or contract administration experience.

 

Departmental Requirements:

Must complete the internal Research Administrator Certificate Courses (RACC) within 3 months of hired. Must complete the CRA Prep Course within 1 year in the role.
