The University of Illinois Chicago, College of Applied Health Sciences (CAHS) Office of Research is seeking a Grants & Contracts Associate. This position functions under the general supervision of the Associate Dean of Research. The primary function of this position is to manage pre-award application submission and post-award administration for sponsored research projects in all five departments in the college. In addition, this office oversees college level approval of all grant submissions. This requires applying specialized knowledge of federal, state, and university guidelines to ensure sponsored project applications are submitted in compliance with funder guidelines as well as University, CAHS and departmental policies, procedures and applicable state/federal laws and regulations.

This is a full-time and benefits eligible position. Duties & Responsibilities:

  • Review grant and contract solicitations to complete appropriate internal and external documentation for research application submissions.
  • Assist PIs with budget development for grant and contract submissions.
  • Review final applications to verify accuracy prior to submission and route to obtain necessary approvals.
  • Coordinate and complete subcontracts.
  • Complete and submit contracts for federal and non-federal sponsored research.
  • Perform other related duties and participate in special projects as assigned.
  • Coordinate and complete documentation for Just-In-Time (JIT) submissions.
  • Review Notice of Award (NOA), account assignment forms, and budget to verify accuracy and revise the budgets to match the awarded project budget.
  • Coordinate, prepare contract billing and payment terms and conditions provided in the sponsored research contracting documents.
  • Verify and adjust expenditure reports for financial reports to be submitted to external funding agencies in accordance with the terms and conditions of the awards.
  • Review research budgets with Principal Investigators (PIs) regarding burn-rates, as requested.
  • Problem-solve with PIs about issues communicated by Office of Sponsored Programs (OSP) or sponsors.

Minimum Qualifications Required:

  1. Bachelor's degree in business administration, accounting, finance, economics or a field related to the position
  2. Additional knowledge, education, training and/or sponsored project experience in the area of specialization inherent to the position may be required.
  3. Demonstrated experience with pre-award grant management and submission

Preferred Qualifications: 

  • Certified Research Administrator.
  • Knowledge of, or the ability to learn federal, state and funding agencies policies, procedures, laws, regulations, and codes applicable to the administration of grants and contracts.
  • Knowledge of, or the ability to learn, University policies and procedures.
  • Knowledge of principles and processes involved in contractual and grant monitoring procedures.
  • Knowledge of computers; word processing, spreadsheets, and database management.
  • Word processing experience.
  • Demonstrated experience with database systems.
  • Excellent written communication.
