Billing Administrator

About the Position:

As the Office of Sponsored Programs (OSP) Billing Administrator this position will manage the invoice functions related to externally sponsored grants & contracts. This position will be a key player in ensuring that appropriate internal controls are in place and accounting procedures are followed. As part of the Financial Management team in OSP this position will interface regularly with other OSP staff, department and college research administrators, faculty, and external sponsors.

Responsibilities:

  • Understand financial requirements of assigned grants and contracts, and ensure functions are completed in accordance with guidelines, including which expenses are eligible to be billed, invoicing requirements, and deadlines;
  • Prepare and send invoices and all required reports to assigned agencies. Monitor invoice payment status and follow up regularly to ensure payments are received;
  • Assist with reporting tasks for financial compliance and monthly monitoring;
  • Coordinate with others within the team, Office of Sponsored Programs staff, principal investigators and college and department administrators to obtain information necessary for invoice submission and other tasks;
  • Timely preparation of monthly and quarterly receivables reports;
  • Assist with external agency and financial audits as needed; and
  • Other related duties as assigned.

Required Qualifications:

  • Bachelor’s degree in Business administration, Accounting, or related field; or equivalent combination of relevant education and experience;
  • Considerable experience (generally 3+ years) in accounting or related field;
  • Demonstrated attention to detail and accuracy for reconciliation of accounts;
  • Demonstrated skill in the use of Excel and other Microsoft based software applications;
  • Effective problem-solving, interpersonal and communication skills; and
  • Skill in organization, with the ability to manage multiple priorities concurrently.

Preferred Qualifications:

  • Experience in financial administration and invoicing in a sponsored research environment;
  • Proficient in Ellucian Banner financial system; and
  • Work experience in a higher education environment.

  • A citizen of the United States;
  • A person who is a lawful permanent resident of the United States (a “Green Card” holder);
  • A person who is a “protected individual” as defined by 8 U.S.C. 1324b(a) (3); or
  • A person who is otherwise able to become generally eligible to receive unclassified technical data pursuant to the International Traffic in Arms Regulations.
