Project Coordinator - Research Institute

Overview

  • Provides coordination of intake of new research projects and ongoing oversight of research projects, administratively, for the Nicklaus Children's Hospital Research Institute (NCHRI) and the Office of Sponsored Programs (OSP). Assists with coordination of projects ensuring consistency with NCHS and the department's strategy and commitments to goals. Ensures quality services for both internal and external customers, consistent with the objectives of NCHS vision and values. Responsible for multiple and simultaneous projects and supporting various stakeholders through all phases of implementation.
  • Manages the intake of the Nicklaus Children’s Hospital Application to Conduct Research (ACR) to ensure completion. Follows-up on review of the ACR by the applicable reviewers and approvers.
  • Enters new research studies into the Clinical Trials Management System (CTMS) in a timely manner.
  • Enters changes and updates to studies in the CTMS, including but not limited to new dates for ongoing progress items and changes to personnel.
  • Assists with the coordination of the onboarding of research volunteers.
  • Monitors central inboxes and responds to or files incoming emails within a reasonable timeframe (typically 24 to 48 hours).
  • Oversees document management (i.e. creates project folders & ensures copies of all relevant documents are appropriately scanned/saved in their project folders with a consistent naming convention).
  • Consistently enters new projects into tracking system or spreadsheet; updates as needed. Ensures PeopleSoft activity number is assigned for each research/sponsored project with billable activity.
  • Uploads documents into MediTract for legal approval; tracks progress effectively.
  • Oversees signature routing process through full execution, including obtaining all required signatures at Nicklaus Children’s Hospital as well as from third parties; follows up as required.
  • Saves copies of fully executed agreements appropriately and email copies to relevant parties.
  • Provides timely support of project phases, resources, and produces documentation necessary to plan, define, and implement the assigned projects.
  • Ensures projects are in compliance with all applicable NCHS policies and procedures.
  • Gathers data for general information purposes and/or special reports and contacts employees, departments, agencies, and individuals for additional documentation as necessary.
  • Responsible for drafting reports and memoranda, etc. including providing administrative support for the SAC and other groups related to research or OSP.
  • Works with the NCHRI team to support local community engagement initiatives that increase awareness of research opportunities within NCHS.
  • Serves as the primary liaison with Marketing and Biomed. Responsible for working with the NCHRI leaders & team to maintain the content and visual appeal of the websites & social media presence.

Qualifications

  • Associate's Degree in Business, biomedical, healthcare or related field (OR) 4 years of project coordination experience
  • 1-3 years of project coordination experience
  • 1-3 years of experience in an academic or hospital research environment
  • Proficient in Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook
  • Knowledge, Skills, and Abilities
  • Bachelor’s degree in business, biomedical, healthcare or related field preferred.
  • Able to handle multiple assignments, set priorities, and meet deadlines.
  • Ability to follow complex written or verbal instructions to solve problems.
  • Strong abilities in prioritizing, problem solving, and attention to detail.
  • Excellent oral/written communication, interpersonal, and organizational skills.
  • Ability to work independently and flexibly with minimal supervision.
  • Ability to represent department/function in a professional, courteous, and efficient manner.
  • Able to adapt and react calmly under stressful conditions.
  • Able to work in a team environment.
  • Able to maintain confidentiality of sensitive information.
