Outgoing Subaward Manager

Overview

The University of Virginia Office of Sponsored Programs (OSP) seeks an Outgoing Subaward Manager, reporting to the Assistant Director of Pre-Award, as a functional manager of the outgoing subaward process for the University of Virginia. This position is telecommute optional!

OSP's mission is to provide leadership in research administration, support the research endeavors of University faculty, ensure the responsible stewardship of research funding, and oversee the submission of proposals and the negotiation and acceptance of awards by the University according to State, University and sponsor regulations.

The Outgoing Subaward Manager will possess a comprehensive understanding of grants and contracts administration. The Outgoing Subaward Manager is responsible for the processing of subawards in the financial system and serves as a principal contact for external subrecipients and sponsors on behalf of the University of Virginia. The Outgoing Subaward Manager is the point person for the outgoing subaward process by triaging assignments, managing workload, and creating and maintaining process documentation.

The preferred candidate will have strong listening and communication skills, be adept at learning the University’s Pre-Award and financial systems, and will grasp new concepts and processes easily and efficiently. The ability to work self-sufficiently on assigned tasks while still being an active and integral part of the Pre-Award team is a key component of this role. OSP is a fast-paced, deadline driven environment with high volume, requiring excellent time management and organizational skills.

The primary job duty of the Outgoing Subaward Manager is to accurately and efficiently manage the setup of subawards in the both the research administration system (ResearchUVA Powered by Huron) and the financial system (Oracle or Workday Financials). This includes distributing work amongst other Pre-Award team members, performing quality control checks of completed subawards, and ensuring accurate subaward setup in the financial system.

The Outgoing Subaward Manager is also responsible for the development and maintenance of standard operating procedures governing subaward setup, subrecipient monitoring and subrecipient risk assessments. The Outgoing Subaward Manager serves as a resource for the University faculty and staff on research administration for subawards, ensuring compliance with state, Federal and University rules, regulations, policies and practices (such as FAR, Uniform Guidance, sponsor guidelines, etc.)

The Outgoing Subaward Manager handles complex subawards, including conduct of risk assessments, and drafting and negotiation of the agreements and amendments.

Lastly, the Outgoing Subaward Manager mentors new research administrators by providing training and guidance. In addition to the above job responsibilities, other duties may be assigned.

Responsibilities:

  • Reviewing/analyzing requests for new outgoing subawards and modifications of existing subawards.
  • Evaluating the request to ensure all necessary compliance requirements are met, appropriate risk assessment is performed, and that the subaward is appropriate to issue and execute.
  • Negotiating terms and conditions with the subrecipient, as required.
  • Signing outgoing subawards consistent with University policy and granted signatory authority.
  • Performing tasks within the University’s financial system related to purchase orders and corresponding subawards.
  • Serving as a liaison with OSP Post Award to coordinate subaward invoice and performance review.
  • Ensuring all appropriate documentation is recorded in databases and electronic systems.
  • Participating in process improvement activities such as the development of subaward templates, workflow processes, resources for campus outreach and education and transition to new systems to support the overall subaward process.
  • Other duties as assigned.

Anticipated Hiring Range: $70,000 to $74,000, commensurate with qualifications, with UVA benefits.

Minimum Requirement

Education: Bachelor's degree
Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
