Overview

Reports to the Chief Operating Officer, Stanley Manne Children's Research Institute, and is responsible for assisting Principal Investigators (PIs) by providing proposal development, onboarding and staffing, purchasing, and Neighborhood organizational assistance. Ensures the smooth daily operation of the Neighborhoods and supports the faculty researchers, research associates, postdoctoral fellows, graduate students and laboratory technicians.

Responsibilities

1. Assists with the preparation of grant applications, progress reports and institutional review processes, including budget and proposal and progress report preparation and review, interpretation of sponsor guidelines, and creation of Cayuse proposal record.
2. Interprets and advises PIs and Lurie Children's staff on Federal, State and institutional policies, procedures, guidelines, and deadlines in conjunction with the Office of Sponsored Programs (OSP).
3. Assists PIs in managing external grants and contracts, planning and carrying out research programs and goals to assure compatibility with available resources. Supports PIs and Office of Sponsored Programs, Office of Research Business Management, and Office of Research Business Operations staff in oversight and monitoring of sponsored projects.
4. Reviews Neighborhood fund accounts consistent with approved budgets. Tracks expenditures for the Neighborhood and assists in preparing and organizing the Neighborhood budget.
5. Assists with new faculty recruitment and works with the Department of Pediatrics to coordinate new faculty appointments. Works with Lurie Children's Human Resources department to recruit staff and fill vacancies, completing necessary requisitions and related documentation consistent with Hospital policy. Works with Lurie Children's Human Resources department, Northwestern University and outside law firms to assist faculty and staff with Visa and green card applications.
6. Assists with the administration of Neighborhood programs with direction from the Neighborhood Lead(s). Provides technical support for visiting speakers. Organizes Neighborhood events including annual meetings and retreats.
7. Assists the Neighborhood Lead(s) and/or PIs with new employee orientation. Assists Neighborhood Lead(s) with preparation of confidential paperwork related to faculty and staff performance evaluations.
8. Obtains quotes on equipment. Prepares and submits requisitions to initiate purchase and installation obtaining necessary approvals as required. Prepares and processes check requests and petty cash vouchers.
9. Other job functions as assigned.

Qualifications

1. Education: Bachelor's degree in relevant field is required.
2. Job Related Experience: Two to five years administrative experience required in research administration, preferably in a scientific setting.
3. Expertise with both PC and Mac computers is preferable. Experience with desktop publishing and programs such as Word, Excel, PowerPoint, EndNote, Adobe Photoshop and ability to insert figures, etc. Demonstrated working experience with computer-based proposal management systems and databases preferred.
4. Must have excellent organizational and prioritization skills to effectively manage priorities of multiple team members.
5. Ability to provide high level of quality customer service to team members, employees, management staff, in addition to external customers.
6. Excellent analytical and process/systems thinking skills; excellent problem-solving skills.
7. Strong communication and organizational skills.
