Grant Administrator III- Job Opening ID 525585

Assist in the oversight of pre- and post-award research projects to support the research initiatives of Kimberly Green Latin American and Caribbean Center (LACC). Works with Principal Investigators (PI's) and Office of Research & Economic Development (ORED) to coordinate overall proposal submission by assisting faculty with proposal preparation which include, but is not limited to, proposal budgets, filling out all required internal and external documents as needed. Prepares and maintains records of all post-award processes as assigned and works closely with PI's and ORED to ensure consistency and compliance conforming to federal, state, sponsor and university rules and regulations.

  • Assists in the planning, directing and reporting activities of the projects administered by LACC and interprets and implements policies and procedures as they apply.  May recommend changes on policy and procedures as needed.  Coordinates the overall proposal submission process by assisting faculty within the Center with grant opportunity identification, the proposal preparation process including the drafting and building of proposal budgets. Completes required internal as well as external forms and prepares applications for internal electronic clearance routing through the faculty's department and college.
  • Works closely with Center faculty and collaborating partners to ensure the accurate and timely submission of all required proposal elements and to ensure that proposal submissions are consistent with established University's policies and procedures while conforming to federal, state, sponsor and University's rules and regulations.
  • Provides post-award administration and management for complex public and private sponsored and non-sponsored projects. Assists with annual progress reports submission, prior approval change and budget revisions as well as other proposal related duties as determined by the Center Directors, SIPA and the Division of Research, in support of LACC's Director of Research priorities.
  • Manages all business related to Center grant renewals, continuations, no-cost extensions and successful and comprehensive grant close-outs. Reviews award documents for grant acceptance and processing; oversees the management of awards for compliance with sponsor's financial guidelines. Reconciles expenditures to ensure costs are allowable, allocable, reasonable, and consistent with funding agency regulations. Advises Principal Investigators and departmental administrators on university, state and federal guidelines governing expenditures and other award activities.
  • Provides financial reports to investigators and departments to assist in award oversight; works with Contracts & Grants (C&G) to close-out projects, including transferring of residual accounts. Maintains records of payments received from sponsors. Assists auditors with data requests and reports; maintains and monitors records associated with the University's subcontracts including processing encumbrances and payments.
  • Serves as primary contact and liaison for departmental faculty and staff, SIPA and ORED for pre-award and post-award actions and processes. Provides post-award financial administration and management for complex research funds. Interprets regulations and guidelines of program funding for complex grants and contracts and prepares renewals and periodic reports for grant agencies. Represents LACC Research in core office initiatives when invited.
  • Coordinates with departments, FIU Administrators, LACC faculty affiliates and Principal Investigators in proposal and budget construction preparation and final submission to the agencies making sure that proposal has strict adherence to agency's guidelines.
  • Works directly with funding agencies to learn funding opportunities as well as programs and deadlines that would benefit the University's research and training mission. Advises the faculty/PI on the most effective way to achieve an effective, quality proposal and coordinate a timely submission process, ensuring appropriate approvals.
  • Submits proposals to agencies electronically as necessary. Maintains communications with granting agencies for appropriate processing of proposals. Provides documentation to the Office of Research & Economic Development Post-Award Office in order to activate projects in the system.
  • Serves as liaison for the processing and review of Collaboration agreements, Non-Disclosure Agreements, Sub-contracts and other Agreements as needed.
  • Assists the PI in the processing of non-competing continuations, progress reports, supplements and other awards/agreement amendments; liaise as necessary with university departments; coordinate and review sub-recipient documentation required by the sponsor to include SOW, authorized letter of collaboration and/or cost-share commitment, detailed budget, budget justification, and supplementary documents, as appropriate.
  • Tracks achievement metrics per LACC investigator including submissions, awards and funds budgeted for salary recovery. Prepares regular reports on LACC grant submission activity and update dataset continuously to include key achievement metrics.
  • Assists LACC investigators with updating bio sketches and current and pending documents as needed and offers training to LACC faculty in preparing these documents. Seeks clarification and guidance on behalf of LACC faculty for administrative and financial (non-technical) parts of their grant proposals.
  • Assists with Effort Reporting certification to ensure amounts budgeted and reported on projects is accurate. Assists in the development of internal operating procedures for the Center's research area.
  • Works directly with faculty/PI managing highly complex multi-million-dollar portfolios which requires in-depth coordination of financial and HR activities, primarily responsible for all interactions with sponsors and staff to resolve problems and correct errors in all project management.
  • Reviews grant and contract award terms and conditions while using and interpreting the other award documents to determine budget, restrictions, invoicing schedule, and other pertinent information while actively participating in the negotiation with grant and contracting officers to substantiate budget requests and to secure terms and conditions, which are consistent with policy.
  • Monitors grant spending and work with the appropriate parties to manage and/or resolve any issues or concerns. Guides and prepares PI's and departmental administration through budget revisions, no-cost extensions, and/or related materials as necessary.
  • Provides post-award accounting of grants and contracts for LACC, principal investigators, SIPA and University's core offices which includes reports of grants and contracts to ensure expenses are being paid according to contract.
  • Interacts with sponsors and staff to resolve problems and correct errors in fund management. Works with department administrators, principal investigator (PI), and University's core offices to resolve issues. Monitors and resolves budget exceptions, non-payroll transfers, budget modifications, change of PI requests, and Direct Charge Exemption forms.
  • Analyzes expenses, develops cost projections, and provides financial tracking and fiscal control to ensure compliance, effective grant management and fulfill reporting requirements. Provides basic accounts payable, human resource, payroll support, including the filing of grant-related faculty summer contracts and other grant-supported personnel.
  • Monitors final reporting which includes reviewing for accuracy and appropriateness and timely submission while interacting with core offices. Prepares sub-awards for sponsored projects as specified by the granting agency including subcontracts and consulting agreements.
  • Initiates Travel Authorizations and Expense Reports. Assures adequate cost justifications and supporting documentation are obtained and conforms to FIU and Sponsor policies and procedures. Contacts faculty members whose grants or contracts are coming to an end to ensure the preparation and submission of a new or continuation proposal to the funding agency.
  • Coordinates the preparation and processing of No Cost Extension requests and submits them to the proper granting agency.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures. Handles cash, credit cards, checks, gift cards and other monetary payments or transactions. 

Minimum Qualifications:

Bachelor's degree and four (4) years of grant or contract administration experience OR Certified Research Administrator (CRA) and four (4) years of grant or contract administration experience OR equivalent combination of education and eight (8) years of grant or contract administration experience.

Departmental Requirements:

Must complete the internal Research Administrator Certificate Courses (RACC) within 3 months of hired. Must complete the CRA Prep Course within 1 year in the role

Desired Qualifications: 

Professional proficiency in verbal and written Spanish preferred.
