Overview

The Department of Operations Research and Financial Engineering is seeking a Grants Manager responsible for managing financial and administrative operations of sponsored research projects (pre and post-awards activities) and additional unrestricted accounts for our faculty, researchers and students.



Responsibilities

This individual is responsible for maintaining a comprehensive knowledge of the faculty member's research portfolio and providing thoughtful and effective guidance to principal investigators on how to best utilize their research resources. This position will provide guidance on University and Sponsor policies and procedures regarding grant management and financial activity. The Grants Manager assists the Department Manager with implementing departmental processes, work-flow, policy or procedure changes as necessary.

 

Pre-award responsibilities include regular communication with faculty members to facilitate proposal preparation and submission procedures. The Grants Manager will prepare budgets, budget justifications, current and pending documents, assemble any required documents for each submission which may vary by sponsor, and route all documents via the internal proposal system (ERA), as well as federal and non-federal grant platforms in a timely manner.

 

The candidate must be capable of managing multiple proposals at once, meeting hard deadlines, and be able to work with other departments as necessary on collaborative submissions.

 

Post-award responsibilities include regular monitoring of expenditures on active projects, and communicating with faculty via monthly forecasting and expenditure reports. The Grants Manager will approve invoices, purchase orders, travel vouchers, reimbursements and credit card activities. Analyze and ensure spending and justifications are in compliance with University and awarding agency regulations and policies, as well as, assist with obtaining necessary approvals on all purchases. The Grants Manager will also enter and adjust salary allocations, process expense adjustments via journals, and provide faculty summer-salary projections. This position will assist faculty with effort certification and ensure timely submission, coordinate joint projects and subawards. Additionally, this position will ensure personnel changes are in accordance with funding agency regulations, and will communicate allocation as appropriate, as well as prepare and submit cost transfer documentation when needed.

 

This position will work closely and maintain regular communication with the Office of Research and Project Administration (ORPA) and Sponsored Research Accounting (SRA), performing no-cost extensions, pre-award spending requests, incremental funding requests, capital equipment purchase coordination and approvals, award closeout, sub-award setup and modifications. Other tasks may be required as needed in support of the faculty research requests.

 

The Grants Manager works in close collaboration with department assistants to ensure compliance with university and sponsor expenditure policies.

 

The Grants Manager must attend regularly offered University trainings to maintain a current working knowledge of continually evolving policies and procedures.

 


Qualifications

  • A bachelor's degree in business or related field, OR equivalent experience
  • 5 years of related work experience
  • Proficient in Microsoft Office suite of products, especially Excel and Word
  • Strong background in budget development, account reconciliations, financial analysis and reporting; solid understanding of accounting concepts and procedures
  • Exceptional organizational skills and ability to work proactively on multiple projects simultaneously in a fast-paced environment
  • Ability to work and contributing as team member of Department
  • Exercise independent judgement to plan and prioritize diverse workload, take initiatives and self-motivated
  • A firm understanding of University, funding agency, departmental and Uniform Guidance policies is preferred.

 

Preferred:

  • Experience in managing and administration of sponsored research and grant proposals
  • Knowledge of NSF, DOE, ONR, DARPA, NIH, AFSOR guidelines
  • Experience with University Financial systems (PRIME, People Soft, Concur) is a plus
