Senior Administrative Analyst

Responsibilities
The Semel Institute for Neuroscience and Human Behavior is seeking to hire a full-time Senior Administrative Analyst to join the UCLA Division of Addiction Psychiatry. You will oversee all aspects of fiscal management and contract and grant budget preparation. You will work closely with other team members to resolve budgetary, administrative, and management issues, problems, and procedures. Primary duties include:
- Manage, develop, and prepare grant budgets, budget justification, and financial summary statements
- Review monthly financial reports on accounts including projections of operating budgets and expenses
- Maintain filing and log purchases
- Assist EFM with closing process out of accounts/funds
- Maintain all records of planned, active, and expired contract and grant documents
- Assist in annual salary negotiations and adjust salary fund sources throughout the fiscal year
- Other administrative coordination duties as assigned
Qualifications
Bachelors Degree in accounting, finance, statistics, economics, business administration or related field (preferred)
Extensive knowledge of financial analysis, planning, preparation and administration of budgets with multiple funding sources
Working knowledge of contract and grant accounting principles and procedures
Working knowledge of local, state, and federal agencies’ policies and procedures sufficient to advise faculty and staff required (University experience preferred)
Knowledge of UC-personnel, payroll, benefits, etc., including staff and academic salary structure sufficient to read and interpret salary distribution sheets and PARs (highly preferred)
Knowledge of University on-line systems, PAC (BruinBuy), QDB, ERS, and EDB (UCPath) (highly preferred)
Skill in analyzing information, problem solving, budgets, practices and procedures to define problems and/or objective and formulate logical and objective solutions and conclusions
Knowledge of accounting functions such as debiting, crediting, reconciling expenses, and transfers of funds and expenses
Skill in writing concise, logical, and grammatically correct financial reports in English
Skill in operating a personal computer and utilizing appropriate software for spreadsheets, word-processing, and database (MS 10. Excel, Word, and Access, E-mail and Internet)
Ability to collaborate in the preparation of proposals, progress reports, and other supporting documents
Skill in establishing and maintaining financial and correspondence files
Knowledge and experience with Institutional Review Boards (IRB) and with the submission of IRB applications
