Florida Atlantic University is seeking an Assistant Director, Research Programs/Services, Boca Raton, FL.

The Assistant Director, Research Programs/Services responsibilities involve the areas of research proposal and grant administration. The Assistant Director also maintains daily operations of the Department in the areas of fiscal management and is responsible for budgeting, forecasting, designing and monitoring a fiscal tracking system, reconciling monthly department ledgers for GTAIDS, Auxiliary, Foundation, Tech Fee, and Carryforward accounts. 

Summary of Responsibilities Include:

  • Stays current on federal, state and university research and administrative policies as they relate to fiscal and personnel matters, and to advise Department of same.
  • Assists faculty with grant proposal budgets and various documents for entry into both internal routing system and official submission systems for review by Sponsored Programs. Track proposal data including Principal Investigator and Co-Principal Investigator effort.
  • Tracks and manages research awards received. Monitors all expenditures on awards, create reports, act as liaison between PI and central research offices for requests, reports, etc. Prepares Research Center Reports for submission to the Board of Governors. Works with suppliers, vendors, consultants, sub-contract awardees, etc. to set up contracts for payment of services. Prepares budget amendments, payroll accounting adjustments, and journal entries, and any other documents as needed in the management of awards.
  • Pre-certify effort charged to research awards.
  • Prepares requisitions, travel authorizations and reimbursements, journal entries and other expense related documents to charge research awards for these activities. 
  • Enters tuition waivers for students in accordance with university policy
  • Serves as liaison between faculty and Dean’s Office to communicate receipt of research awards and assist with writing articles to highlight research projects.
  • Manages assigned administrative staff. This includes conducting meetings with staff, training of multiple employees, and performance evaluations. Attends training offered by Human Resources regarding best practices for conducting staff evaluations and leadership skills.
  • Oversees purchasing functions for department; p-Card approvals, prepares requisitions, monitors purchase orders and payments
  • Performs other duties as assigned.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience; or a bachelor's degree from an accredited institution in an appropriate area of specialization and four years of appropriate experience required.

Excellent verbal and written communication skills are essential to success in this position.

Must be proficient in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel.

Must also have excellent customer service, organizational and time management skills.
