Pre-Award Administrator

Overview

The Pre-Award Administrator in the Office of Vice Provost for Research assists Principal Investigators (PI) with the review and submission of proposals to external funding agencies for sponsored research projects. This position will conduct reviews of the proposal packages to ensure all applicable sponsors and institutional policies have been adhered to. The Pre-Award Administrator will work closely with other Pre-Award Administrators as well as with the University Research Administrators (URAs).  For more information about the Office of Vice Provost for Research, please visit this link. 

What We're Looking For

  • An Associate degree is required and one year of budget administrative experience is required.
  • Three years of grant and contracts are preferred. 
  • Superior attention to detail when reviewing grant and contract documents.
  • Ability to work independently or collaboratively and thrive in a fast-paced environment. 
  • Excellent interpersonal skills and an understanding of the different needs of our researchers/PI, department chairs, and sponsors.
  • Quick thinker with superb attention to detail and organizational skills. 
  • Ability to set priorities in order to perform and manage workload involving a large number of interruptions and sensitive matters. 

What You Will Do

  • Ensure provision of excellent customer service to faculty, local research administrators, and sponsors in the ongoing administration of sponsored research by serving as an expert resource to the Baylor research community.
  • Manage Pre-Award activities for an assigned portfolio using knowledge of grant and contract management rules and regulations, technical expertise, and analytical skills. 
  • Support all relevant activities in the Pre-Award Office, including proposal review and submission, award negotiation and acceptance, contract review and negotiation, sub-recipient review and monitoring, award modification negotiation and acceptance, Just-in-Time (JIT) submission, and submission of programmatic reporting.
  • Review all proposal submissions and award terms and conditions on behalf of the Authorized Institutional Signing Official to confirm they are in accordance with federal and state regulations and guidelines, including federal OMB Uniform Guidance (2 CFR 200), sponsor specific, and Baylor policies.
  • Maintain auditable records for sponsored awards, including proposal and award documents and internal and sponsor correspondences.  
  • Participate in training and professional development opportunities, as determined by the AVP for Research, Pre-Award.
