Overview

Job Description

Reports to Director, Grants & Contracts and handles the day-to-day operations for grant and fiscal administration for both the pre-award and post-award activities. Directly supervises pre- and post-award positions within the Office of Sponsored Programs.

Responsibilities:

  • Supervises and supports the post-award fiscal operations within the Office of Sponsored Programs. Reviews and approves invoices, financial reports, drawdownsnetter of credit requests prepared by staff. Oversees account receivables tracking and the credit and collection process of aged receivables. Prepares detailed invoices and financial reports for more complex awards.
  • Identifies and prepares complex ad-hoc reports for administration and for additional agency requests/requirements to effectively manage the sponsored project portfolio. Interfaces with auditors and follow up on audit findings. Oversees and supports project administration on contract and grant accounts. Monitors the setup and maintenance of grant accounts in Maestro and FAMIS for compliance with institutional policy and sponsor-related terms and conditions.
  • Develops, implements and improves policies and procedures for post-award research administration and collaborate and develop improved processes between all Research Administration and Business Affairs units. Conducts regular training of university personnel. Represents OSP at institute training and educational programs and implements frequent and recurring outreach activities to colleges, schools, departments and centers to promote and increase university research activities. Supports pre-award positions within the Office of Sponsored Programs. Ensures regulatory compliance by maintaining contact with Sponsors grants and contracting agents to communicate changes of sponsored requirements.
  • Providesguidance to staff on maintenance and approvals needed to successfully submit and route proposals and sub-awards. Oversees and ensures consistency and completion of account entries into MAESTRO for all proposal and sub­ award submissions. Created and maintains monthly exception reports between the financial system and databases to ensure data quality.
  • Assists the Director, Contracts and Grants as needed in administrative duties.
  • Assumes responsibility for the Office in the absence of the Director
  • Perform other duties as assigned.

Required Education and Experience:

  • Bachelor's degree
  • Eight years of related experience in management.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing and spreadsheet applications.
  • Ability to multitask and work cooperatively with others.
  • Verbal and written communication skills.
  • Ability to communicate clearly and effectively to ensure understanding.

Preferred Qualficiations:

  • Bachelor's degree in Accounting or related field
  • Eight years of progressively responsible management related experience in contracts and grants, accounting, accounts receivables, and restricted funds requirements
  • Five years of supervisory experience managing professional staff.
  • Prior experience higher education and funding accounting.
  • Demonstrative experience in sponsored program accounting and administration.
  • Knowledge of Uniform Guidance and relevant sponsor rules/regulations.
  • In depth knowledge of restricted funding accounting.
  • Collaborative, team-oriented leadership style.
