What We’re Looking For

The Senior Post-Award Administrator is responsible for the award set up, award maintenance, invoicing, financial reporting, cash management, closeout, and effort reporting in Baylor University's Office of Vice Provost for Research. This position will provide senior-level guidance, mentorship, and training to the Post-Award Administrator team. The Senior Post-Award Administrator will also be responsible for conducting periodic reviews for sponsored awards to ensure accordance with federal and state regulations and guidelines. This position reports directly to the AVP for Research, Post-Award. 

The successful candidate will have the following:

  • A Bachelor's degree and five years of relevant experience, including two years of progressively responsible Accounting and/or Research Administration experience, are required. 
  • Certified Research Administrator (CRA) is preferred. 
  • Understanding of grant funding process (i.e. - NIH, NSF, DOD, etc.) in addition to the federal and state regulations and guidelines.
  • Excellent analytical skills.
  • Excellent interpersonal skills and an understanding of the different needs of our faculty and research administrators.
  • Ability to work independently or collaboratively and thrive in a fast-paced environment. 
  • Ability to approach challenges and change in a positive manner.
  • Ability to multitask and prioritize daily workload. 
  • Strong organizational skills.  

What You Will Do

  • Support all relevant activities in the Post-Award Office, including award set up, award maintenance, invoicing, financial reporting, cash management, closeout, and effort reporting.
  • Provide senior-level guidance, mentorship, and training to Post-Award Administrators.
  • Interpret regulations and guidelines of multiple awards with complex and broad guidelines for spending and compliance.
  • Possess thorough working knowledge of accepted accounting principles and practices or equivalent.
  • Conduct periodic reviews for assigned sponsored awards, including monitoring spending trends, recording of transactions, overdrafts, resolving small balances on awards, reviewing restricted budgets, tracking cost-sharing commitments, and monitoring sub-recipient expenditures
  •  Maintain auditable records for sponsored awards, including invoices, reports, and sponsor and internal correspondences.
  • Assist with maintenance of relevant research administration systems and inform the office of changes to business processes and systems.
  • Provide system implementation support, specifically testing from an end-user perspective.
  • Ensure provision of excellent customer service to faculty, local research administrators, and sponsors in the ongoing administration of sponsored research by serving as an expert resource to the Baylor research community.
  • Provide formal and informal training to university research administration staff, including faculty and local research administrators on federal and state regulation changes as well as internal institutional policies and procedures.
  • Participate in training and professional development opportunities, as determined by the AVP for Research, Post-Award.
  • Maintain current with federal, state, and institutional guidelines through active participation in professional organizations and continuing professional education, webinars, seminars, workshops, conferences, etc.
