Job Summary

The position of Shared Services Coordinator will be responsible for working with assigned departments as well as Research Business Administrator to perform departmental pre and post-award research activities while delivering excellent customer service. The position will perform support functions for Drexel University Principal Investigators (PIs), with a focus on ensuring that PIs have accurate and timely information to make decisions. The Shared Services Coordinator will take on an increasingly complex research portfolio.

Essential Functions

P.I. Post-award Support

  • Coordinates on establishment of project accounts for grants and sub-awards.
  • Provides grant life management for each project in their portfolio by monitoring expenditures, analyzing monthly reports, communicating with PI regarding financial progress and coordinating activities around grant closeout.
  • Maintains accounting records for all awards within their portfolio and reconciles against General Ledger monthly, processing journal entries if needed. 
  • Ensures Payroll distribution is correct for faculty, graduate students, and support staff and processes changes as needed.
  • Meets with PIs monthly to provide updates on the financial status of their accounts.
  • Assists PIs with effort reports to ensure accuracy and timely submission.
  • Assists PIs with budget development for progress/final reports to the sponsor.
  • Acts as a liaison between PIs and Research Accounting Services as appropriate. JD 2

P.I. Pre-award Support

  • Coordinates proposal submissions for PIs with their portfolio, including meeting with the PI to discuss proposed resources (labor and non-labor), drafting all administrative components of the proposal (including the budget) and coordinating submission to the sponsor with their assigned Pre-award Program Administrator.
  • Maintains proposal submission records for all PIs within their assigned portfolio.
  • Meets with PIs monthly to discuss upcoming proposal submissions

Other Responsibilities

•       Helps to support and build up policies and procedures around shared services provided by the Office of Research.

•       Attends regular meetings, training sessions and professional development workshops/seminars to keep current on policies and procedures relevant to position responsibilities.

•       Other duties as assigned.

Required Qualifications

  • Bachelor’s Degree in Business, Finance, Accounting, or a related discipline or equivalent combination of experience, education and training
  • 1-3 years’ prior experience in providing financial or research management services on federally funded grants or contracts directly for faculty in an academic research environment.
  • Certified Financial Research Administration (CFRA) or willing to become certified.
  • Previous experience in working with Drexel systems, COEUS, Web*Finance, Hyperion, Banner, etc.

Preferred Qualifications

  • Proven experience in a service-oriented position, involving extensive customer contact and relationship building.
  • High level computer skills including experience with the Microsoft Office suite.
  • Ability to work proactively, with a problem solving and troubleshooting attitude.
  • Ability to prioritize work efficiently. 
  • Excellent organizational skills.
  • Effective communication skills.
  • Ability to work independently and handle several projects at any given time.
  • Ability to work collaboratively across a variety of administrative and academic units.
