Research Development Coordinator

Overview

Required Qualifications (as evidenced by an attached resume):

Bachelor's Degree (foreign equivalent or higher). In lieu of degree, four (4) years of directly related full time experience, or a combination of higher education and experience totaling four (4) full-time years may be considered. One (1) year of directly related full time administrative experience. Experience with event planning, communications and office management (including calendar management, travel arrangements and reimbursements). Experience as an assistant to a Director position or higher. Highly proficient, professional experience in word processing, spreadsheet management, electronic messaging and internet applications (Microsoft Word, Excel, PowerPoint, Google Apps, etc.)

 

Preferred Qualifications:

Advanced degree (foreign equivalent or higher). Additional years (2+) of progressively responsible full-time administrative experience. Experience in a higher education or academic environment. Experience working with one or more of the follows campus computer systems: Wolfmart, RF Report Center, SOLAR, myResearch, Pivot or PeopleSoft. Experience with procurement and travel reimbursement policies and procedures. Experience with pre- and/or post- award external research funding/grants. Major event planning: organizing both large and small scale conferences, events and workshops. Three (3) or more years' experience supporting a Director level or higher administrator.

 

Brief Description of Duties:

The Research Development Coordinator will provide administrative support as a key member of the Office of Proposal Development team, overseeing a wide range of activities to support research development as well as provide administrative support to the Associate Vice President for Research (AVPR).

 

The candidate must have excellent customer service and interpersonal skills, exercising strong organizational and time management skills with an exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.

  • Assistant to the Associate Vice President for Research (AVPR): Determine AVPR's priorities as it relates to calendar management, scheduling of meetings and conferences as well as other special events. Arrange conference calls. Make necessary domestic and international travel and accommodation arrangements for AVPR and prepare travel reimbursement vouchers. Consult with the AVPR to determine and develop appropriate agendas; research, gather and organize materianls for meetings, take meeting minutes and provide a summary for the AVPR. As required, investigate any issues raised at meetings and follow-up as appropriate. Assist the AVPR or designee in producing an annual report, strategic plan and OVPR Newsletter. Prepare paperwork which is sensitive and confidential in nature.
  • Office Management: Coordinate staff meetings and office hours for the Office of Proposal Development. Maintain OPD calendar and website. Handle all procurement transactions, travel arrangements and reimbursements, vendor payments and independent contractor payments. Ensure the OPD Office Standard Operating Procedures are up to date and enforced.
  • Funding Opportunities: Communicate closely with and train faculty and administrators to ensure a successful implementation of PIVOT, the OVPR's funding database for faculty. Develop communications plan to share funding opportunities with faculty in the natural sciences, health sciences engineering, arts and humanities. Support communications and assist in the planning and execution of research focused outreach and training for junior faculty and teams of PIs preparing large proposals.
  • Event Planning: Coordinate campus wide OVPR events for faculty, including workshops and training sessions. Coordinate events/trips for research collaboration.
  • Proposal Support: In collaboration with Proposal Development Specialists and Proposal Development Coordinators, support the administrative submission and review of proposals involving multiple SBU department and external organizations to facilitate University-wide and other large scale collaborative and/or interdisciplinary proposals. Assist in ensuring that proposals meet sponsor and University requirements.
  • Other duties or projects as assigned.

The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
