School Research Administrator, GWSPH

Overview

The George Washington University’s Milken Institute School of Public Health (GWSPH) is seeking a School Research Administrator (SRA) for grants management. Under the direction of a GWSPH department Associate Director of Finance and Administration, the SRA will be responsible for managing pre- and post-award activities, financial analyses and compliance within an assigned portfolio of grants and contracts for a department within GWSPH. The portfolio also includes various finance and administration tasks for the GWSPH Senior Associate Dean for Research.

This position performs pre and post award administration of sponsored projects, including facilitating reimbursements, purchase orders, service agreements, invoice payments, P-Card activities, payroll distributions, stipends and tuition benefits. This position usually identifies potential grant opportunities and proposal development efforts, and tracks, reviews and edits subcontracts, service and consultant agreements, and checks for accordance and grant compliance as well as participates in proposal submission. This position supports a school’s research efforts.

Responsibilities Include:

Pre-award

• Meets with assigned PIs to review proposal and sponsored project activities. 
• Provides assistance to PIs in the development and preparation of sponsored grant and contract proposals, including budget development, procurement and administrative sections.
• Provides assistance to PIs to coordinate all proposal documents to ensure completeness and accuracy, compliance with University policies/procedures and sponsor requirements/regulations. Oversees all communication and coordination with subcontractors, consultants, other GW collaborators.
• Supports and oversees the routing of proposals for institutional approvals. Provides PI with guidance on deadlines and proposal tracking.

Post-award

• Monitors and manages sponsored project expenditures and grant activities, including reconciling award expenditures and budgets monthly, executing and adjusting labor distributions, processing project-related expenditures, projecting future award expenses, and participating in project close-out.
• Meets monthly or quarterly with assigned PIs to review award expenditures and make adjustments and revisions as necessary. Advises PIs on various issues regarding awards/projects.
• Manages budgets and compliance timelines throughout the award.
• Reviews requests for subcontractors and consultants and consults with PIs accordingly.
• Ensures compliance with Federal and sponsor regulations and terms of awards; and oversees compliance with all institutional policies and guidelines for sponsored projects.
• Establishes and maintains grant and contracts electronic files, according to the department’s internal procedures. Updates appropriate departmental established databases and trackers.
• Conducts regular financial reporting of all assigned sponsored projects, noting discrepancies between planned and actual financial performance, preparing periodic and final financial reports for sponsors.
• As needed, serves as liaison for fiscal and administrative matters with all entities within the university such as Accounts Payable, Procurement, Payroll, and Office of Vice President for Research (OVPR), Office of Research Excellence (ORE) and Grants & Contracts Accounting Services (GCAS).
• Maintains familiarity with federal grant and contract regulations.
• Assists the department manager with annual budget submissions. Works with the department manager to develop an overall financial strategy and serves as a liaison to the Finance Director, as needed.
• Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
