Associate Director for Grants and Sponsored Programs Accounting

Overview

The Associate Director for Grants and Sponsored Programs Accounting assumes primary responsibility for the post-award process for Dickinson’s external grants as well as accounting for internal research grants and other restricted funds. This position is also responsible for the college’s fixed asset accounting and inventory procedures. This individual is expected to offer a high level of service to faculty and the college community, have strong attention to detail, have strong interpersonal and communication skills and have the ability to work independently and problem solve with minimal supervision. Experience in grant accounting/administration in a general ledger environment and demonstrated knowledge of accounting principles is essential for this position. This position works closely with faculty, department administrators, the Office of Sponsored Research, Advancement, the Office of Financial Aid, Financial Operations and various awarding agencies and foundations.

Essential Duties

  • Track, monitor and reconcile expenditures to ensure accuracy and compliance with governmental regulations and grant guidelines, along with effort reporting and proper allocation of overhead and cost sharing. Post entries to the general ledger as necessary. Perform routine reviews and internal audits of grant expenditures.
  • Prepare and submit quarterly and annual financial reports to grant sponsors, including billing and cash requests. Submit federal drawdown requests for student aid (Pell, Federal Work Study, SEOG and Direct Loan). Assist the Office of Financial Aid with annual FISAP and Perkins reports. Prepare the year-end audit schedules, including the Schedule of Expenditures of Federal Awards and additional support for the Single Audit Reporting Package.
  • Assist the Office of Sponsored Research in reviewing budgets for grant proposals. Act as a resource and liaison between faculty Principal Investigators (PI’s), department administrators, Office of Sponsored Research, Advancement, external agencies/foundations and other college staff. Regularly monitor existing policies and collaborate on drafting new policies when needed.
  • Manage the college’s financial accounting and reporting needs for agency and restricted funds as designated. This includes accounting and reporting for internally funded grants and projects not included in the above-named areas.
  • Manage the accounting for fixed assets and leases, including capitalization, depreciation and annual inventory counts (both federal and non-federal inventory). Maintain the subsidiary ledger for fixed assets in Banner.

Preferred Qualifications

Bachelor’s degree in Accounting or 3-5 years of related experience in an advanced accounting role, including grant accounting.

Preference will be given to candidates possessing any of the following:

  • Transactional post-award research administration experience (CFRA preferred)
  • Experience with Ellucian Banner or a similar enterprise resource planning system with direct general ledger experience
  • Higher education experience (ideally within a small, private institution)
